What are GCMS Notes, CBSA Notes & Complete IRCC Records?
What these records are
GCMS stands for Global Case Management System, the internal database IRCC uses to manage every immigration and citizenship application from 2013 onwards. CBSA Notes are records held by the Canada Border Services Agency about border crossings, admissibility decisions, and enforcement actions. Complete IRCC Records are a full file disclosure covering all documents, correspondence, and internal notes across your entire immigration history with the Canadian government.
Legal basis
All three record types are requested under Canada's Access to Information Act (ATIA) and the Privacy Act (R.S.C., 1985). Individuals present in Canada, permanent residents, and citizens can request their own records. Third-party representatives (lawyers, RCICs) may request on your behalf with signed consent. IRCC and CBSA are legally required to respond within 30 days, though extensions are common for complex files.
GCMS vs CAIPS
GCMS Notes cover applications from 2013 onwards. CAIPS Notes are the legacy system used before 2013. CBSA Notes are separate from both and cover border services records. Our wizard identifies which record types apply to your case and guides you to request the correct ones.
Who can request
Zahata Global Inc. files each paid service order on the records subject's behalf. For IRCC requests, the records subject downloads and signs the official IMM 5744 consent form, then uploads the signed copy securely through MyGCMS.
